Terms & Conditions

Please read these Terms & Conditions carefully before using our website, making a booking, or arriving at Aurora Borealis Observatory. By using our website or booking a stay with us, you confirm that you have read, understood, and accepted these terms.

1. General Terms

These Terms & Conditions govern the use of the website auroraborealisobservatory.com and all related services, including accommodation, transportation coordination, activities, guest communication, and online bookings.

Aurora Borealis Observatory and its related services are operated and managed by CPH AS.

By accessing this website or using our services, you agree to be bound by these Terms & Conditions.

2. Booking & Reservations

A booking is considered confirmed once payment has been received according to the payment terms stated during the booking process.

We reserve the right to correct obvious errors, including pricing errors, availability errors, typographical mistakes, or incorrect information displayed on the website or in booking systems.

Pictures of rooms, suites, apartments, and views are for illustration purposes only. Individual units may vary slightly in layout, design, furniture, expression, and view.

3. Payment Terms

A 50% deposit is normally required at the time of booking.

Bookings made less than 60 days prior to arrival must be paid in full at the time of booking.

If only a deposit has been paid, the remaining balance may be charged automatically prior to arrival.

During special campaigns, discounted periods, or SUPERSALE offers, full payment may be required at the time of booking.

4. Cancellation Policy

Cancellations made more than 60 days prior to arrival are eligible for a full refund.

Cancellations made less than 60 days prior to arrival are non-refundable.

All cancellations must be submitted in writing to: booking@auroraborealisobservatory.com

We strongly recommend that all guests have comprehensive travel insurance covering cancellation, illness, travel delays, and other unforeseen circumstances.

5. Arrival Information

Guests must send their estimated arrival time 7–10 days before arrival so we can coordinate check-in and transportation where applicable.

On arrival day, guests must contact us via phone, WhatsApp, SMS, or email to confirm that travel plans remain unchanged and on schedule.

Important: If we do not receive arrival information in advance, and the guest fails to contact us on arrival day, CPH AS cannot be held responsible for additional transportation costs caused by missing or delayed communication.

6. Pickup & Dropoff

Pickup and dropoff to/from Finnsnes are included for guests who book directly through our website.

Included transfer times:
Arrival: 15:00–22:00
Departure: 08:00–15:00

Transportation outside these hours may not be available and may require separate transportation at the guest’s own expense.

7. Transfer from Bardufoss Airport (BDU)

Guests arriving at Bardufoss Airport can take the airport shuttle bus (“Flybussen”) to Finnsnes Bus Terminal.

After arriving at Bardufoss Airport, go outside and locate the white airport shuttle bus marked Flybussen. Inform the driver that you are traveling to Finnsnes Bus Terminal, where we will meet you.

The shuttle bus ticket between Bardufoss Airport and Finnsnes is not included.

Transportation from Aurora Borealis Observatory back to Finnsnes Bus Terminal is included within our standard departure transfer hours.

The shuttle bus ticket from Finnsnes back to Bardufoss Airport is not included.

8. Transfer from Tromsø Airport

Guests arriving in Tromsø may travel to Finnsnes using the express boat service. This is a scenic and convenient route through the Arctic fjords.

Pickup from Finnsnes Boat Terminal is included within our standard pickup hours for direct bookings.

9. Practical Information

Guests are responsible for reading the practical information available on our website prior to arrival.

10. Check-In & Check-Out

Check-in: 15:00
Check-out: 10:00

Guests must respect check-in and check-out times unless otherwise agreed in writing.

11. Accommodation & Housekeeping

Guests are expected to keep the apartment tidy during their stay, especially the kitchen area.

Housekeeping does not include washing dishes, kitchen utensils, pots, pans, or other kitchen equipment.

Additional cleaning charges may apply if the apartment or kitchen is left excessively untidy upon departure.

12. Restaurant, Groceries & Food

Aurora Borealis Observatory does not operate a full restaurant at the resort.

All accommodation units include kitchen facilities, and grocery stores are located approximately 10–15 minutes away by car.

Several restaurants and dining options are also available within approximately 10–15 minutes driving distance.

Please note that opening hours may vary, especially during public holidays and off-season periods.

13. Weather & Northern Lights

Weather conditions in the Arctic can be unpredictable and may change rapidly.

Northern lights are a natural phenomenon and can never be guaranteed.

Even during periods without aurora activity, Senja offers spectacular landscapes and alternative Arctic experiences.

14. Activities & Tours

Some tours and activities require a minimum number of participants in order to operate.

Weather conditions, safety considerations, road conditions, or operational circumstances may result in changes, rescheduling, or cancellations of activities.

Certain activities and aurora experiences are exclusively available to guests staying at Aurora Borealis Observatory unless otherwise stated.

Availability is limited, and additional spaces cannot be added once activities are fully booked.

15. Health & Safety

Guests are responsible for informing us in advance about any medical conditions, physical limitations, or special needs that may affect participation in activities, tours, or transportation.

This includes, but is not limited to:

  • Back or neck problems
  • Pregnancy
  • Reduced mobility
  • Use of wheelchairs or mobility assistance devices
  • Use of medical equipment or breathing assistance devices
  • Other medical conditions affecting safety or participation

Guests should consult their doctor before participating in activities if uncertain whether participation is appropriate.

We reserve the right to refuse participation in an activity if we believe it may create a safety risk for the guest, staff, or other participants.

16. Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance.

Travel insurance should include coverage for:

  • Cancellation fees
  • Travel delays
  • Medical emergencies
  • Lost or delayed luggage
  • Photography equipment
  • Arctic outdoor clothing and gear
  • Weather-related disruptions

CPH AS cannot be held responsible for costs, losses, injuries, delays, cancellations, damaged equipment, or unforeseen circumstances that should normally be covered by travel insurance.

17. Lost or Damaged Equipment

Guests are responsible for their own belongings and equipment throughout their stay and during all activities.

Arctic conditions may include rain, snow, wind, ice, slippery surfaces, low temperatures, and rapidly changing weather conditions.

Lost, stolen, or damaged belongings, camera equipment, phones, clothing, or other personal items are not covered or replaced by CPH AS.

18. Website Content & Accuracy

We strive to keep all website information accurate and up to date.

However, the website may occasionally contain typographical errors, outdated information, inaccuracies, or omissions related to prices, services, activities, promotions, or availability.

We reserve the right to correct errors, update information, modify services, or cancel bookings if incorrect information has been displayed.

19. User Content

If you submit information, requests, reviews, photos, or other content through our website or services, you are responsible for ensuring that such content is lawful, accurate, and that you have the right to share it.

We do not claim ownership of user-submitted content, but we may store, process, or use such content where necessary in order to provide our services.

We reserve the right to remove content that we consider unlawful, harmful, misleading, offensive, or inappropriate.

20. Third-Party Services

Our website and services may include references to third-party providers such as booking systems, payment providers, transportation services, activity operators, maps, or embedded content.

These third-party services are governed by their own terms and policies.

CPH AS is not responsible for the availability, pricing, actions, services, policies, or failures of third-party providers.

Such links are provided for convenience only and do not imply endorsement, approval, or responsibility for the linked websites.

Users access external resources at their own risk.

22. Advertising & Affiliate Links

To the fullest extent permitted by law, CPH AS shall not be liable for indirect losses, consequential damages, weather-related disruptions, missed aurora sightings, travel delays, lost equipment, personal expenses, or circumstances beyond our reasonable control.

Nothing in these Terms & Conditions limits rights that cannot legally be excluded under applicable law.

We reserve the right to modify or update these Terms & Conditions at any time.

The latest version published on this website shall apply unless otherwise required by law.
